How MyEvent Labs can help your business

If you're spending too much time working around your systems, let's talk about what could work better.

By Duncan Underwood

You know that job everyone puts up with because it's just how things are done? The spreadsheet that needs updating in three places. The information that has to be copied from an email into another system. The person who gets interrupted all day because they're the only one who knows where anything is.

Those are the sorts of problems I'd like you to bring to MyEvent Labs.

You don't need to know what software you need, or whether AI has anything to do with it. Start by showing me what happens now and where it gets frustrating. That's a much more useful conversation than trying to pick a tool before we've looked at the work.

Getting your systems to work together

You might already have software you like. Your booking system does its job, your accounts are in order, and your team has a way of keeping track of jobs. The problem is the work between those systems.

MyEvent Labs can help with custom software and integrations to connect those steps. That could mean moving approved information between tools, building a clearer view of job progress, or creating a small internal tool for something your existing software doesn't handle well.

I'd want to understand what you already use before suggesting a change. Replacing a system affects the people using it every day, so keeping the useful parts matters.

Working out where AI is useful

There's a lot of noise around AI. If you're wondering whether it could help your business, we can look at a specific task and try it with examples from your work.

That might be finding information in your procedures, organising incoming requests, or preparing a draft that someone can check. We'd need to look at the information involved, who can access it, and what happens when the output is wrong or incomplete.

I want to know whether it makes the whole job easier. If someone saves a few minutes producing a draft but spends longer fixing it, we haven't achieved much. A focused trial gives us something useful to judge before you commit to a bigger project.

Tools for events and the work on site

Event work has plenty of moving parts. Requirements change, updates need to reach the right people, and the information in the office needs to match what's happening on site.

MyEvent Labs can help explore tools for planning, coordination and sharing that information. For example, a project could focus on keeping job requirements in one place or making a handover easier to follow.

How people will use the tool matters as much as what it does. Can they find what they need on a phone? What happens when connectivity is poor? Who updates the information when the plan changes? Those questions belong in the brief from the start.

For work involving physical equipment, we can also look at connected devices, sensing and robotics. That starts with feasibility: the environment, safety requirements, maintenance and any specialist help the project needs.

What working together would look like

I'd start by asking you to walk me through a real example. Who does the work? What comes in? What needs to happen next? Where do things get held up?

From there, we can agree on a manageable first step, the budget and what we'd need to see for it to be worthwhile. A prototype can help answer the uncertain parts before we build further. Your team should have a chance to use it and point out what we've missed.

We also need to talk about what happens afterwards: who looks after it, how people get help, and what it costs to keep running. A tool has to be practical to own as well as practical to use.

Bring me the awkward bit

You don't need to arrive with a finished brief. An example of the task, a rough idea of the time it takes, and what you'd like to change are enough to get the conversation started.

If something in your business keeps making you think, “There has to be an easier way to do this,” get in touch. Let's have a look at it together.
